This Privacy Policy explains how Fitly (“we”, “us”, or “our”) collects, uses, discloses, and protects your information when you use our mobile application and coach dashboard (the “Services”). By using the Services, you agree to the practices described below.
1) Information We Collect
- Account & Profile: name, email, display name, role (coach/client), and settings (e.g., check-in weekday).
- Check-in Photos: images you upload for progress tracking (we store a full-size and a smaller thumbnail derivative).
- Training & Nutrition: meals, foods, macros, training plan structure, and logbook entries (e.g., bodyweight, steps, energy, sleep hours).
- Usage & Device Data: app interactions, pages viewed, approximate location derived from IP, device and browser information, and diagnostic logs to keep the Services reliable.
2) How We Use Information
- Provide and personalize the Services for clients and coaches.
- Display progress (e.g., weekly averages, timelines, photos).
- Improve performance, security, reliability, and user experience.
- Communicate with you about updates, support, and security notices.
- Comply with legal obligations and enforce our terms.
3) Legal Bases for Processing
Where applicable (e.g., the EU/UK), we process your data on the basis of contract (to deliver the Services), legitimate interests (to secure and improve the Services), and consent (e.g., for optional uploads like photos). You can withdraw consent at any time from within the app or by contacting us.
4) Sharing & Disclosure
- Service Providers: We use third-party infrastructure (e.g., managed databases, storage, analytics) to operate the Services. These providers only access data as needed to perform their work for us and are bound by confidentiality obligations.
- Coaches & Clients: Coaches can see their own clients’ data; clients can see their own data. We do not sell your personal information.
- Legal & Safety: We may disclose information if required by law or to protect rights, property, or safety.
5) Data Retention
We keep information for as long as your account is active or as needed to provide the Services. You may request deletion (see Section 9). Backups may persist for a limited time as part of our disaster-recovery processes.
6) Security
We apply industry-standard safeguards—including access controls, encrypted transport, and least-privilege policies. No method of storage or transmission is 100% secure; we continuously improve our protections.
7) Children’s Privacy
The Services are not directed to children under 13 (or the minimum age required in your jurisdiction). If you believe a child provided us information, contact us and we will take appropriate steps to remove it.
8) International Transfers
We may process and store data in countries other than your own. Where required, we use appropriate safeguards for cross-border data transfers.
9) Your Rights
- Access, update, or correct your information.
- Delete your account and associated content (e.g., photos).
- Object to or restrict certain processing.
- Request a copy of your data in portable format.

10) Your Choices
- You can remove check-in photos at any time from within the app.
- You can stop using the Services and request account deletion.
- You can control notifications via device settings or app preferences.
11) Changes to This Policy
We may update this Privacy Policy from time to time. We’ll post changes here and update the effective date. If changes are material, we’ll provide additional notice (e.g., in-app banner or email).
